Automation ROI calculator: what the repetitive work is costing you.

Every business has tasks that repeat every day: answering the same questions, moving data between tools, chasing leads, filing documents. Enter how many people do that work, how many hours a week it takes, what an hour costs and what the automation would cost, and the calculator shows the hours and money an AI agent or workflow would give back, when it pays for itself and the return in the first year.

Answering the same questions, copy-paste between tools, reports, follow-ups, filing.

Fully loaded: the employee cost calculator gives this figure.

Rarely 100%: exceptions still need a person.

Find out which task pays back first, for free

A 30-minute strategy call maps the repetitive work in your business, prices it with your numbers and gives you a scope with a fixed price. If what we build does not work as agreed, we fix it at no cost.

What counts as repetitive work

Anything that follows the same steps every time and could be explained with rules or examples: answering the questions customers always ask (by phone, WhatsApp, email), copying data between a form, a CRM and an invoice tool, building the weekly report, chasing quotes and invoices, sorting and naming files, screening applications. The calculator prices those hours with your own cost per hour; the employee cost calculator gives you that number if you do not have it.

What it looks like in practice

  • A content agency handed hiring steps, file management and reporting to five AI tools, work that used to fill several hours a day; see the ContentJet case study.
  • An AI receptionist answers calls around the clock for $200 to $500 a month, against $3,000 to $5,000 for a human agent: our phone assistant case study quotes 30 times lower cost.
  • An online store runs WhatsApp support and six marketing workflows on n8n, so the founders stopped answering the same questions by hand; see HeroStoryBook.

How to read the result

  • Payback under six months is the usual bar for a first automation project; most single agents clear it easily because the setup is paid once and the saving repeats.
  • Keep the "share automated" honest: 50% to 70% is realistic for most tasks, because the exceptions still need a person.
  • Add the revenue side yourself: hours are only half the story when the automation also answers leads faster or catches calls you used to miss.
  • Start with the task that combines the biggest hours with the simplest rules. That is exactly what the free strategy call maps, with a fixed quote at the end; see AI consulting.

Questions, answered.

How do I calculate the ROI of automation?

Count the hours the automation saves per month, multiply by the loaded hourly cost of the people doing the work, subtract the running cost, and compare the yearly result with the setup cost. This calculator does that with your numbers.

What does an automation cost?

Our projects start at $2,500 for a single agent or workflow, with a fixed price agreed before we start, plus running costs of about $200 to $500 a month for one agent (tools, model usage, hosting).

What is a good payback period?

Under six months is a comfortable bar for a first project; many single agents pay back in two or three months because the saving repeats every month.

Why not automate 100% of a task?

Because exceptions exist: unusual requests, angry customers, edge cases. A good agent handles the routine and hands the rest to a person, which is why 50% to 70% is a realistic share.

Does this include revenue gains?

No, only the hours. If the automation also answers leads faster or catches missed calls, the true return is higher; add that on top.

Which task should I automate first?

The one with the most hours and the simplest rules. The free strategy call lists your tasks, prices them with your hourly cost and ranks them by payoff and effort.
