An AI appointment setter answers a new lead within seconds by WhatsApp, SMS, Instagram DM or phone, asks your qualifying questions and books the ones who fit into your calendar, then sends the reminders. Paid plans of software you run yourself cost about $30 to $500 a month (CloseBot from $64, DM Champ $97, SetSmart $99, SetMore.ai $150). Done-for-you services charge a share of revenue (Setflow AI, 5%), a fee per booked call (LeadsNow) or a fixed build (Airtective, from $799). Choose software if someone on your team will write the scripts and watch the conversations; choose done-for-you or a custom build if nobody will.

Want the setter built and running for you?
We build agents that answer calls around the clock, qualify the lead and book it into your calendar, in English, French and Arabic. One agent starts at $2,500, with a fixed price before we start.
A lead arrives: an ad form, a webinar registration, a DM, a missed call, an application.
The setter replies within seconds, on the channel the lead used. Setter AI advertises a reply within 10 seconds.
It asks your qualifying questions (budget, timing, the problem they want solved) and handles the common objections you wrote down.
It books the ones who fit, either with a calendar link or inside the conversation, and writes the result to your CRM.
It sends confirmations and reminders, and follows up with anyone who goes quiet or misses the call.
It hands the conversation to a person when the lead asks for one or the question is outside its script.
The first two steps are where most of the value is. A lead who filled in a form at 11 pm and hears nothing until the next afternoon has usually moved on; a setter answers at 11 pm.

The ranking pages that AI assistants cite for this question compare channels, booking and starting price. These are the questions that decide whether a setter pays for itself, and none of them is on a pricing page:
Show rate. Count held calls, not booked ones. A setter that books 40 calls with a 50% show rate gives you fewer conversations than one that books 30 at 80%. Reminders by WhatsApp or SMS the day before and an hour before are what move this number.
Cost per held call. Divide what you pay (subscription, per-booking fees, messages) by the calls that actually happened. It is the only number that compares software with pay-per-result.
Rescheduling and no-shows. Can a lead move the call inside the chat, and does the setter follow up with the ones who did not turn up?
Consent and channel rules. In the US, the TCPA and state laws govern automated marketing calls and texts, and the FCC ruled in 2024 that AI-generated voices count as artificial voices, so those calls need prior consent. In Europe, GDPR applies to every lead record. On WhatsApp, a message sent more than 24 hours after the lead last wrote must use an approved template, and Meta bills it.
Who owns it. With software, the scripts and the flows live in the vendor's account. With a custom build they live in yours. Ask before you invest weeks of tuning.
Languages. Most of these tools are tested in English. If your leads write in French, Arabic or Spanish, test the setter in that language before launch.
For coaches and consultants
A coaching funnel usually runs ad, then registration or application, then a webinar or a sales call. A setter earns its place at three points: replying to every application and ad lead the minute it arrives, reminding registrants before the live session and the booked call, and following up with those who missed it. The closing call stays with you or your closer. Measure it with four numbers you can pull from any CRM: leads, booked calls, held calls and sales, month by month.
If your funnel also needs the pages, the ads and the follow-up built, that is a sales funnel project rather than a setter alone.
Questions, answered.
What is an AI appointment setter?
Software or a service that replies to new leads automatically, asks qualifying questions and books the qualified ones into your calendar, by WhatsApp, SMS, Instagram DM, email or phone. It replaces the first conversation a human setter would have, not the sales call itself.
How much does an AI appointment setter cost?
Paid plans of software run about $30 to $500 a month (SendRad from 270 MAD, Wazzap AI from $29, CloseBot $64, DM Champ $97, SetSmart $99, SetMore.ai from $150, Setter AI from $497). Done-for-you services charge a share of revenue (Setflow AI, 5%) or per booked call. A custom build costs from $799 per workflow at Airtective or from $2,500 with us.
What is the best AI appointment setter for coaches?
For Instagram and WhatsApp DMs you set up yourself, SetSmart or DM Champ. On GoHighLevel, SetMore.ai or CloseBot. If nobody on your team will run it, a done-for-you service such as Setflow AI or LeadsNow AI. If your funnel has its own steps or languages, a custom build.
Can an AI setter book directly into Calendly or GoHighLevel?
Yes. SetSmart, DM Champ and SetMore.ai list Calendly or GoHighLevel, CloseBot works inside HighLevel, and DM Champ syncs both ways with Google Calendar. Check that cancellations and reschedules flow back to the CRM as well.
Is an AI setter better than a human setter?
At speed and consistency, yes: it answers at any hour within seconds and never forgets a follow-up. A good human setter still handles a hesitant high-ticket buyer better. Many teams let the AI take the first reply, the qualification and the reminders, and keep people for the calls.
Is it legal to text leads with an AI setter?
With consent, yes. In the US the TCPA and state laws govern automated marketing texts and calls, and since the FCC ruling of 2024 AI voices need the same prior consent as prerecorded ones. In Europe, GDPR and the e-privacy rules apply. On WhatsApp, messages outside the 24-hour window need approved templates. This is general information, not legal advice.
What should I measure?
Held calls and the cost per held call. Booked calls flatter every setter; the calls that actually happen, and what each one cost, tell you whether it works.
Should I pay per appointment?
It moves the risk to the provider, which is fair while you test. Get in writing whether no-shows are billed and who decides that a lead was qualified, and compare the total with a subscription at your real volume.
