Buyer's guide · updated 23 October 2026
AI automation agency or freelancer: which one, for which job.
Hire a freelancer for one well-defined workflow you can check yourself: Upwork puts n8n experts at $40 to $100 an hour and a single workflow at $500 to $2,000. Hire an agency when the automation talks to your customers, touches several systems or has to keep running after the person who built it moves on: agencies that publish prices charge $1,500 to $5,000 per workflow and $5,000 to $25,000 for an AI agent. Either way, the accounts, the workflows and the documentation must be in your name.

Upwork hire pages, Fiverr's cost guide (3 August 2026) and Malt's job pages, read on 23 October 2026. Agency figures from 14 agencies' own pricing pages, compared in our pricing guide.
The hourly gap is real, the project gap smaller than it looks. A single n8n workflow costs $500 to $2,000 from an Upwork freelancer and $799 to $1,999 at Airtective or from $1,500 at TwoCore. Where the two diverge is everything after launch: who fixes it when an API changes, who answers when it stops at 2 am, and who still knows how it works a year later. The agency side of the market is detailed in our AI automation agency pricing guide.
If an agency fits the job, here is how we work
A fixed price before we build, accounts in your name, and a fix at no cost if it does not work as agreed. One automation or agent starts at $2,500.
Which one, job by job
| Your project | Better fit | Why |
|---|---|---|
| One workflow between two apps you already use | Freelancer | Narrow, easy to test, cheap to redo if needed |
| A report, an export, a data clean-up | Freelancer | A finish line you can check yourself |
| An AI agent that answers your customers by phone or WhatsApp | Agency | Scripts, test calls, fallbacks and monitoring are a team job, and mistakes are public |
| Several connected systems: ads, CRM, calendar, follow-up | Agency | Many moving parts; one change breaks another |
| Changes every month | Either, on a retainer | Upwork lists workflow support at $500 to $2,000 a month; agency retainers are similar |
| Customers in several languages | Whoever tests in those languages | An agent that works in English and fails in French is still failing |
| Health, payments or personal data | Agency, with a contract | You need a data processing agreement, and someone accountable |
How to hire a freelancer well
- Write the finish line: what goes in, what comes out, and how you will check it.
- Pay a fixed price per milestone, not open hours.
- Create the accounts yourself and invite the freelancer. Never let them register your tools in their name.
- Ask for a demo on your own data, not a sample.
- Get the export of every workflow and a one-page explanation before the final payment.
- Look in more than one place: Upwork, Fiverr, Malt in France, and n8n's own directory of experts.
How to choose an agency
- Ask who will build it. A small agency where you talk to the builder is often better than a large one with an account manager in between.
- Get a fixed price on a written scope, and the support period in writing.
- Ask what happens to the build if you stop the retainer. You should keep everything.
- Ask for the case study closest to your project, with numbers.

Where we fit
We are a small agency: you talk to the people who build. Projects start at $2,500 with a fixed price, every account is created in your name, and you receive the exported workflows and the documentation at handover, so a freelancer or another agency can take over at any time. We also publish 30 of our n8n workflows as free, open-source templates: we would rather be kept for the work than for the lock-in.
Questions, answered.
Is a freelancer cheaper than an AI automation agency?
Per hour, usually: Upwork lists n8n experts at $40 to $100 an hour against $250 an hour at an agency like XRAY. Per project the gap is smaller, since a single workflow costs $500 to $2,000 from a freelancer and $799 to $5,000 from agencies that publish fixed prices. The difference is what happens after launch.
How much does an n8n freelancer cost?
Upwork puts freelance n8n experts at $40 to $100 an hour, with one workflow at $500 to $2,000 and a multi-app integration at $2,000 to $5,000. On Fiverr, AI automation projects average $75 to $520.
Can a freelancer build an AI phone agent or WhatsApp agent?
Yes, many do. Check that they have built one in production before, that they test it with real calls or messages in your languages, and that someone watches the conversations in the first weeks. Upwork lists custom AI agents at $5,000 to $15,000.
What if the freelancer disappears?
If the accounts are yours and you have the exported workflows and a short explanation, another freelancer or an agency can take over in days. If not, expect to rebuild. That is why accounts and documentation matter more than the hourly rate.
Where can I find an AI automation freelancer?
Upwork and Fiverr worldwide, Malt in France, and n8n's official directory of experts for n8n work. For a GoHighLevel build, Upwork has a dedicated hiring page.
When should I hire someone in-house instead?
When automation is part of what you sell, or when there is a full-time backlog of work for at least a year. Until then, an agency or a freelancer on a retainer costs less than a salary.
What should the contract say?
A written scope and finish line, a fixed price per milestone, that every account and all the work belong to you, the handover documents, the support period, and how changes are priced.
